As a Legal Operations Manager (LOM), you will play a key strategic role in enhancing our Emerging Growth practice. This position is designed for a strategic business professional dedicated to streamlining billing, matter management, and administrative functions across diverse teams. You will guide a multi-disciplinary team of experts, collaborating closely with attorneys and practice management leadership to ensure efficiency and client satisfaction throughout all phases of matter lifecycle management.

Location This role is based in either our Palo Alto or San Francisco office and includes a flexible hybrid work schedule. Key Responsibilities Matter & Financial Management Oversee the management of pitches, proposals, matter openings, budgeting, and compliance with client guidelines. Monitor work-in-progress (WIP), billing, collections, and profitability metrics for the assigned portfolio.

Coordinate with billing teams to ensure the consistency and accuracy of invoicing according to client needs. Collaborate with collections to track payments and allocations effectively. Track and report on significant financial KPIs, identifying risks and opportunities proactively.

Operational Leadership Act as the primary liaison between the partner and internal business teams (finance, billing, administration, marketing, etc.). Lead a cross-functional team to ensure outstanding client service and operational excellence. Implement industry best practices for managing matters, optimizing workflow, and allocating resources efficiently.

Client Service & Relationship Support Ensure adherence to client outside counsel guidelines and reporting needs. Support client-facing administrative tasks, including preparing status reports, budgets, and performance metrics. Collaborate with pricing and legal project management teams to establish and maintain alternative fee arrangements and matter project plans.

Process Improvement & Technology Identify and introduce process enhancements to boost efficiency and lessen administrative burdens. Utilize firm technology platforms for tracking matters, reporting, and facilitating collaboration. Provide training and mentorship to team members on best practices and technological tools.

Desired Skills In-depth understanding of law firm economics, billing practices, and client service expectations. Strong leadership, communication, and organizational abilities. Proficient in financial analysis, budgeting, and matter management systems.

Adept at handling multiple priorities in a dynamic, high-volume work environment. Capable of leading cross-functional teams and influencing outcomes without direct authority. Skilled at interpreting financial data and operational metrics effectively.

Dedicated to providing exceptional service and nurturing strong relationships. Proactive in recognizing challenges and driving solutions. Comfortable using legal practice management tools and data analytics software.

Minimum Education Bachelor's degree in Business Administration, Finance, or a related field. Minimum Years of Experience 5 years of experience in legal operations, practice management, or a professional services setting. Essential Job Expectations Effectively communicate with clients, lawyers, business professionals, and external contacts, both verbally and in writing.

Produce timely deliverables, respond to calls, and handle correspondence efficiently. Deliver precise, high-quality work products consistently. Meet deadlines and fulfill expectations as required.

Cultivate positive workplace relationships. Adhere to all firm policies and procedures. Engage in both physical and sedentary activities, including prolonged computer use, virtual meetings, and participation in team engagements.

Physical Demands This position requires primarily sedentary work, involving lifting or moving objects weighing up to 10 pounds occasionally, and continuous periods of sitting. Walking and standing are only occasionally required to meet the responsibilities of the role. Work Environment The selected candidate may benefit from a hybrid work arrangement, combining remote and in-office work, as determined in collaboration with the hiring manager.

The expected salary range for this role is $135,455 - $179,481 annually, depending on the candidate's geographical market location. Compensation will also depend on factors such as experience, skills, educational background, and other qualifications.
