Its 7 pillars provide services to Bank EMEA and Sec Internationals.MAIN PURPOSE OF THE ROLE Provide executive assistance to multiple, Senior Directors and Managing Directors of the Senior Technology Leadership Team (L2’s) supporting the strategic direction and objectives of the division/ department.KEY RESPONSIBILITIESEffective co-ordination and extensive diary management for multiple technology Senior Executives (3-4 people) proactively identifying priority meetings and ensuring all papers are prepared and available in advanceCo-ordination with Executive colleagues within the MUFG group including the Management Team.

Act as host for meetings and events on behalf of the department as requiredCo-ordinating schedules for visitors from other parts of MUFGDealing with high level queries and management of highly sensitive and confidential informationPlanning detailed and comprehensive itineraries, booking travel (flights, hotels, taxis) and where applicable arranging visasCollating and distributing papers on ad-hoc basisCollating reports and presentations for committees and on behalf of the Management Team including the Board, International Executive Committees and other high level meetings e.g. with regulatorsOverseeing travel, expense claims and leave requests for the respective Management Team as requiredDrafting ad-hoc emails and producing high quality communications clearly and accurately (e.g. facilitating internal communication e.g. distributing information (up and down) from the Senior Leadership Team.Departmental/Division meeting organisation, agenda preparationNew starter set up for Department Seniors where requiredOther administrative tasks as advised by line managerEstablish good rapport with peers, senior executives, vendors and business guestsWORK EXPERIENCEEssentialExecutive Assistant/Team Assistant experience (3 years plus) supporting multiple DirectorsPrior experience working in a fast paced administrative role in a corporate environmentExperience interacting effectively with Senior ManagementPreferred:Financial Services experienceJapanese speakingSKILLS AND EXPERIENCEEducation / Qualifications:EssentialDegree educated or equivalentStrong IT skills with advance MS office knowledgePERSONAL REQUIREMENTSExcellent communication skills, written and verbal, a clear and concise communicatorResults driven, with a strong sense of accountabilityA proactive, motivated approachExcellent multi-tasking and organisation skillsThe ability to operate with urgency and prioritise work accordinglyStrong decision-making skills, the ability to demonstrate sound judgementA structured and logical approach to workStrong problem-solving skillsA creative and innovative approach to workExcellent interpersonal skillsThe ability to manage large workloads and tight deadlinesExcellent attention to detail and accuracyA calm approach, with the ability to perform well in a pressurised environmentA can-do attitude; the motivation and drive to assist team members to the best of your abilityExcellent Microsoft Office skillsWe are open to considering flexible working requests in line with organisational requirements.MUFG is committed to embracing diversity and building an inclusive culture where all employees are valued, respected and their opinions count.
